Administrative Assistant

Administrative Assistant – Basking Ridge, NJ – $50k to $70k d/o/e

Responsibilities include:

  • Provide direct administrative support to the Executive Director and Department Heads.
  • Draft, proofread, manage email, letters, and other written correspondence.
  • Assist with creation, maintenance and updating of organizational policies and procedures.
  • Troubleshoot and resolve basic IT and software related issues in coordination with IT support when necessary.
  • Organize and maintain digital and paper filing systems.
  • Coordinate interdepartmental communications to ensure smooth operations.
  • Schedule meetings, prepare agendas, and record meeting minutes as needed.
  • Handle confidential information with discretion and professionalism.
  • Assist in preparing reports, presentations, and data summaries for leadership.
  • Support special projects and organizational initiatives.
  • Track and follow up on outstanding tasks, project timelines, and deliverables.
  • Compile, organize and summarize data for internal reporting and quality improvement purposes.
  • Assist in managing schedules, calendars, coordinating travel and conference arrangements.

Requirements include:

  • Associate or bachelor’s degree in business administration, Healthcare Administration, or related field.
  • Minimum of 3-5 years of administrative experience, preferrable in healthcare or nonprofit organizations.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other common business software, familiarity with database management preferred.
  • Strong written and verbal communication skills
  • Ability to multitask, prioritize and manage time effectively.
